What we collect when you write to us or travel with us, why, who sees it, and how to ask us about it. Written for Alberta’s Personal Information Protection Act and Canada’s PIPEDA.

What we collect
When you send an enquiry, ask us to check dates, or join a waitlist, we collect what you type into the form: usually your name, email address, phone number if you give it, your travel dates and preferences, and any notes.
If you go on to book, we collect what the booking needs and nothing more. That can include the full names of everyone travelling as they appear on passports, dates of birth, passport details, loyalty program numbers, dietary, medical or accessibility needs you choose to tell us about, emergency contacts, and your trip record: itinerary, bookings, confirmations and payment schedules.
We do not take payments on this website.
Why we collect it
To reply to you, to plan and quote your trip, to book it with the travel suppliers who will look after you, and to support you before and during the trip. We also keep the records our host agency and the law require us to keep.
We do not add you to a mailing list unless you ask to join one, and you can leave it at any time.
How we store it
Enquiries and trip records are kept in secure cloud services: a password-protected database, our business email, and an email delivery service that sends our messages. Some of these services store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.
Access is limited to the people who plan your trip. Your trip portal is reached by a private link we send you, rather than a password, so please keep that link to your travelling party.
How long we keep it
If you enquire and do not travel with us, we keep your enquiry for up to two years in case you come back to it, then delete it. If you book, we keep your trip record for as long as we need it for the trip and for our legal, tax and host-agency record-keeping obligations, then delete or anonymise it. You can ask us to delete your details sooner, subject to those obligations.
Your choices: access, correction and consent
You can ask to see the personal information we hold about you, and ask us to correct anything that is wrong. We will respond within 30 days.
You can withdraw your consent at any time. If you do, we stop using your information for anything but what we are legally required to keep, though we may not be able to plan or continue a booking without it, and we will tell you if that is the case.
If you are not satisfied with how we have handled a concern, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.
